How A Simple To Do List App Has Boosted My Productivity

To do list written on a notepad

I have always been a sucker for a list, and specifically a to do list. To begin with I used to use pen and paper but my lists used to get messy and it felt like a waste of paper. So I moved digital. I’ve been using a simple Google Document for the past few years and each day has my activities for each section of the day (before work, after work and during my lunch break). But I knew there must be a more efficient method and there’s where Todoist comes in.

How todoist works

Todoist is both an app and a web application so I can add items and tick things off both on my laptop and on my phone. And being an app it’s really optimised and not like opening a Google Doc on my phone (which isn’t ideal).

Todoist is like a typical to do list where you can add tasks and then tick them off when you complete them. But one of the things I love is that it’s super intelligent. You can type ‘Book train ticket at 10am on Wednesday’ and it will pick up the date and time and add it to your to do list then. You can also type things like ‘Water the front garden every day at 6pm’ or ‘Check plants in office every Wednesday 8am’ and it will create reoccurring items. As soon as you tick it off on that day it will move to the next occurrence.

I’ve just had to get used to the terminology of ‘next week’ etc to make sure things are added to the right time.

Optimising my to do list

You can set different tags to your to do list so I split out workouts, blogging work, home tasks and other things. That way it’s easy to see what types of things I have on and to group things better.

You can also add priorities to things. So if you’re not a fan of timing your to do list you can prioritise tasks and work in priority order. Something like this may work really well for freelancers who can set their own task lists, but you can also add deadlines for things.

There are loads of other things you can use with the app such as sub items and viewing as a board. There are also plenty of additional features you can get with the paid version of the app which I don’t yet have.

How the app has boosted my productivity

I am a big fan of micro scheduling my life. It’s not for everyone to assign tasks and timings for everything you do, but it really works for me. I can set the exact times I need to work on things and assign say half an hour for a task before adding in the next task. For me this works especially well at the weekend as I can finish the things I want/ need to do as early as possible so I can relax for the rest of the day.

The todoist app means I can assign specific times for things and it’s then easy to know if I am getting behind schedule. The app has boosted my productivity as it saves me time in the physical creation of my to do list. When I worked from a Google Doc I’d do 2 weeks in advance and with so many reoccurring items that I do every day/ week it took quite a bit of time and maintenance. But now I’ve set up my reoccurring tasks I don’t need to add them in again. And for my to do list it’s saved me so much time.

With so many things to remember to do across household tasks, blogging work, general life admin and so much more having a good to do list means I won’t forget anything. And I can spread out tasks like cleaning across the week.

Do you use a to do list?

I honestly do not know what I’d do without my daily organizer. It really does help me focus on each task and I get so much done checking each thing off. Truly the best practice 🙂

I have never heard of this app before, but I definitely need to check it out! Right now I just write out my to-do list or put it in my notes on my phone… This would be a huge improvement haha. Thanks for sharing!
