Everyone’s always going on about being more productive (myself included). But being productive doesn’t just mean working harder, it’s all about working smarter. And productivity hacks can help with this. With the right strategies and tools you can maximise your time and output so you’ve got more time for the things you want to be doing.
Here are five productivity hacks that can transform your workday.
This is the method that I personally use throughout my working day. It involves scheduling specific periods in your calendar not just for meetings but for specific pieces of work, and even breaks.
We use Microsoft Outlook at my work so I will visually block out my day for tasks and to-do items. This way I don’t forget an important task and it makes it easier to prioritise what needs to be done each day.
By assigning a purpose to your time you should eliminate procrastination and make better use of your time.
I’d never heard of this method before I did some research but it’s designed to avoid overwhelm if you have a long to-do list. The matrix helps you focus on what truly matters.
Split your tasks into four quadrants or sections.
Knowing what falls into each category will help you direct your time to the most impactful tasks. And it will also help you push back or delegate tasks which may not be important.
If a task takes less than two minutes to complete, do it straight away. This might be replying to an email, filling in a form, or organising your desk.
These small wins prevent tasks from piling up and will free your mind up for bigger projects. Lots of two minute tasks can add up if you don’t do them straight away.
Eat the frog is the concept of tackling the most difficult or important task first thing in your day. If you’ve tackled the hardest thing early, the rest of your day will feel easier and more productive.
It’s often attributed to Mark Twain who allegedly said “If it’s your job to eat a frog, it’s best to do it first thing in the morning. And if it’s your job to eat two frogs, it’s best to eat the biggest one first.”
This is a technique I have done in the past, and it can help you will focus and efficiency by working in short bursts.
You set a timer for 25 minutes, and spend that time head down working on one task. After that time take a 5 minute break, and then start another 25 minute session. After four cycles, it’s best to take a slightly longer break.
This method trains your brain to work with focus while avoiding burnout. And because it’s only 25 minutes there’s less chance for distractions.
Maximising productivity is just about optimising how you work. And the methods discussed above can help you achieve more in less time and remain focused.
These methods won’t work for everyone and it will depend on the type of work you do, but they’re worth trying.
